Consultation Policy
Our consultations are designed to give you clear, personalised guidance based on your circumstances and the current migration framework. To ensure your session is meaningful and accurate, each consultation is prepared with care. Before we meet, I review your information, your responses to the pre-consultation form, conduct preliminary research, and set up your consultation file. This preparation typically takes one hour and is completed 1–2 days before your appointment, which means late cancellations may involve professional time already invested. To keep this fair and transparent, the following terms apply to all consultation bookings.
1. Purpose of a Consultation
A consultation gives you the opportunity to:
discuss your goals, background and circumstances
understand your eligibility and available visa pathways
ask questions and receive tailored guidance
gain clarity on next steps, risks and requirements
Consultations are based on the information you provide at the time. Consultations do not create an obligation to engage us for further services, and they do not guarantee a visa outcome.
2. What You Can Expect From Us
During your consultation, we will:
listen carefully to your situation and goals
provide advice based on current migration law and policy
outline relevant visa options and key requirements
explain risks, limitations or issues that may affect your case
answer your questions clearly and honestly
If further research is required, we will follow up with you within a reasonable timeframe.
3. What Not To Expect From Us
A consultation:
does not establish an ongoing client relationship
does not include reviewing or assessing supporting evidence (e.g., identity, relationship or employment documents) unless agreed in advance
does not include reviewing draft or completed application forms, personal statements or written submissions
does not include assistance with form completion or application preparation
does not include written advice unless specifically arranged
does not guarantee eligibility or a visa outcome
we typically cannot advise on applications that have already been lodged, as doing so requires a comprehensive assessment of the documents and forms submitted. If your matter is already lodged, please contact us by email so we can confirm whether support is available.
If you choose to proceed with a visa application through us, a separate Service Agreement will be provided outlining the full scope of work and professional fees.
4. Your Responsibilities
To ensure your consultation is accurate and meaningful, you agree to:
provide truthful, complete and up‑to‑date information
share any documents requested at least 48 hours' prior to the consultation
complete any pre-consultation forms send to you at least 48 hours' prior to the consultation
notify us of any changes to your circumstances
attend the consultation at the scheduled time
If the information provided is incomplete or inaccurate, the advice given may be limited.
5. Consultation Fees
Consultation fees are payable at the time of booking.
Fees cover:
the consultation session
preparation time
follow‑up communication where further clarification is required
Consultation fees are separate from any future professional fees for visa application services fees or any further consultation outside of service agreement.
6. Preparation for Your Consultation
Every consultation is prepared with care. Before we meet, we review your circumstances based (information, forms and documents provided), conduct preliminary research, and set up your consultation file. This preparation typically takes one hour and is completed 1–2 days before your appointment. Because this work is completed in advance, late cancellations may involve professional time already invested.
7. Rescheduling & Cancellations
We understand that plans change. To keep things fair and efficient, the following applies:
Rescheduling and Refund Eligibility
Rescheduling is offered to support genuine changes in availability. It cannot be used to reset or extend refund eligibility. If a consultation is rescheduled and later cancelled, any refund will be assessed based on the original appointment date and time, not the rescheduled one. Repeated rescheduling requests may incur a $20 administration fee.
For refund-specific information, please refer to the Refunds & Cancellations Policy.
Cancellations
More than 48 hours’ notice: A full refund is available (less the $20 administration fee), or you may choose to reschedule at no charge
Less than 48 hours’ notice: 75% of the consultation fee is refundable (less the $20 administration fee), or you may reschedule once at no cost
Less than 24 hours’ notice: 50% of the consultation fee is refundable (less the $20 administration fee), or you may reschedule once at no cost
Less than 4 hours’ notice: the consultation fee is forfeited, or you may reschedule once at no cost
No‑shows: The consultation fee is forfeited.
* Exceptions may be made regarding notice periods, only for emergencies.
Administration Fee
A $20 administration fee applies when processing refunds for cancelled consultations. This covers non‑refundable payment processing charges and administrative work completed when setting up your consultation. The fee may also apply where a consultation is rescheduled multiple times, as repeated changes require additional administrative handling.
Late arrivals
If you arrive late, the consultation may still need to finish at the scheduled time to avoid impacting other clients. If you are more than 15 minutes late, the session may be treated as a no‑show.
8. Refunds
Refunds (full or partial) are available in the following situations:
you cancel more than 4 hours before your appointment
we are unable to provide the consultation due to unforeseen circumstances
a booking error occurs on our end
Refunds are not available when:
you do not attend your appointment
you cancel with less than 4 hours’ notice
you change your mind after the consultation has taken place
the advice provided is not the outcome you hoped for
Refunds are returned to the original payment method. Once processed on our end, this typically occurs within 5 business days. Please note that bank processing times vary, and the time it takes for the funds to appear in your account is outside our control.
9. Privacy & Confidentiality
All information shared during your consultation is handled in accordance with our Privacy Policy and the Australian Privacy Principles.
We treat your information with care, confidentiality and respect.
