Privacy Policy

At Visa Journey Australia, we work with personal and often sensitive information every day. Protecting your privacy is central to how we operate and how we earn your trust. This policy explains what we collect, why we collect it, and how we keep it safe.

1. Our Commitment to Your Privacy

We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles. We take every reasonable step to ensure your information is handled securely, respectfully and transparently.

We may update this policy from time to time. The most current version will always be available on our website.

  • your name, date of birth and contact details

  • your address and identification documents

  • immigration‑related information

  • marketing opt‑in data or survey responses

This helps us improve our website and understand how people use it.

3. How We Collect Information

We may collect information:

  • directly from you (or your authorised representative) by phone, email, online forms or documents

  • from other migration professionals where permitted by law

  • from government agencies when required for your matter

  • through website analytics, cookies and server logs

  • We always aim to collect information in a fair, transparent and lawful way.

Your information is used primarily to deliver the migration services you’ve requested. It may also be used to:

  • verify your identity

  • prepare and lodge visa applications

  • communicate with immigration‑related agencies

5. Sharing Information With Third Parties

We may share your information with:

  • government departments and visa processing centres

  • trusted service providers assisting with document handling, verification or translation

  • secure technology providers who support our systems

These parties only receive the information necessary to perform their role and are bound by confidentiality obligations.

If your visa matter requires information to be sent overseas (for example, to a foreign government authority), we take reasonable steps to ensure your data remains protected.

6. Storage and Security

Your information may be stored in secure digital systems, paper files or other protected formats. We take reasonable steps to safeguard your information from loss, misuse, unauthorised access or disclosure.

We take all reasonable steps to retain personal information for a period of seven (7) years after the last action on the file for the relevant client. This aligns our policy with Section 56(5) of the Code of Conduct for Registered Migration Agents 2022.

When your information is no longer required, it is securely destroyed or permanently de‑identified in line with the Privacy Act 1988 (Cth).

7. Your Rights

You may request:

  • access to the personal information we hold about you

  • correction of inaccurate information

  • deletion of your information where legally permitted

  • withdrawal of consent for optional uses (e.g., marketing)

  • We will respond to all requests in accordance with Australian privacy law.

These third‑party services may collect information such as your IP address or browsing behaviour. Their privacy practices are governed by their own policies, not ours.

9. Children’s Privacy

We do not knowingly collect personal information from individuals under 18 years of age. Parents or guardians should supervise the submission of any information by minors.
